Vendor Billing Report

The Insights menu and Standard Reports or Reports Overview sub-menu are only visible if you have the correct permissions to access reports.

The Vendor Billing report shows bonus rewards issued in association with vendor-funded promotions, organized by vendor. Finance and accounting departments use this report for vendor billing purposes — to charge back the cost of bonus issuance to the funding vendor.

The report also gives clients information they can share with vendors to encourage continued support for vendor-funded issuance. It is provided in a data cube format to offer maximum flexibility for creating preferred views of vendor funding usage.

The report provides insights into product code, product description, total quantity sold, quantity sold with offer, and total points issued per product, along with product name, item cost, item retail price, category name, and a combination of other codes to derive the UPC code.

Access and Manage the Report

To access the Vendor Billing report:

  1. Navigate to Insights > Reports Overview > Standard Reports.
  2. Click Liability Management > Vendor Billing. The Vendor Billing report is displayed.
  3. Select either Data Cube Dashboard (all available data, allowing you to drill down into details) or KPI Summary (showing the state of major related metrics).

To view definitions of terms and usage notes:

Hover over the upper left corner of the report. The definitions and notes appear in a popup window.

Control results in the report

To control the results shown in the Vendor Billing report:

  1. Access the Vendor Billing report as described above, then go to the first section of the report.

  2. Set the filters at the top of the report to control the KPI summary shown (the first row of charts: Total Vendors, Points Issued, Quantity Sold with Offer, and Total Quantity Sold). The filters include:

    • Business Unit: Select one or more business units. This selector is only shown if your company has multiple business units in the Exchange Solutions system.
    • Fiscal Year: Select one or more fiscal years.
    • Year: Period: Comprises the year and month. Select one or more year and period combinations.
    • Vendor: The default is All. To view data for specific vendors, deselect All, select the specific vendors, then click Apply.
    • Product Category: The default is All. To view data for specific product categories, deselect All, select the specific categories, then click Apply.
    • Promotion Code: Select one or more promotion codes for analysis.
    • Vehicle ID: A unique code to identify an aspect of the rewards offer. If you don't use this code, leave it set to All.
    • Event: A code related to a specific event, campaign, or multiple of these used to provide rewards to members. If you don't use this code, leave it set to All.
    • Frequency Offer: Filter to view insights for frequency or continuity offers.
  3. Select additional settings for specific charts within the report. For example, in the Vendor Contributions section, select the vendor name and metrics for the Vendor Distribution chart. For the other chart in the same section, select the dimension (such as Product Category) and the top N of that category to display (where N is a number up to 50). In the Trends Over Time section, choose the number of periods to show.

  4. To view more details about a chart element or data point, hover over it. The text data appears in a popup.

View results in the Data Cube

To view results in the Data Cube table:

In the Vendor Billing report, click the Data Cube button. The Data Cube table provides flexibility to view a detailed tracking list for vendor billing information based on combinations of category values across time, with the ability to drill down into detailed data.

In the Data Cube, you can select the same metrics as in the Vendor Billing report, as well as a category or up to eight additional metrics for further filtering. Available filtering categories include elements such as vendor number, vendor name, event code, various promo details, product category, GTIN, product description, and frequency offer.
